Finvesture (name is representational) is a large American investment advisor in global assets management while being one of the top providers of mutual funds and exchange- traded funds (EFT's) in the world.
Finvesture wants to leverage their current 'Collaboration Core' platform with some additional functionalities in a manner that the overall experience of the platform is redefined and unified. Collaboration core is a platform that equips Finvesture to collaborate with their clients through messages and documents.
How might we redefine the Collaboration Core to provide a common space for Finvesture and its clients to connect and collaborate, while making it simple and delightful to use.

MY ROLE
As lead designer on the track, I worked with business analyst & sample users to understand client domain, gather requirements, and create a design intake document. Once the requirements were set in place, I worked with product owners & development team to provide feasible solution for revamping their portal.

BREAKING DOWN THE CHALLENGE
The Collaboration Core is a sub track of the retirement platform, which is part of the larger Finvesture platform. This required us to create uniform standards across different tracks to make the experience cohesive while leaving room to design for future states.
The messaging platform lacked a proper navigation that made it difficult for the users to easily navigate through previous messages, find a profile, etc. Along with lack of ability to set sensitivity levels leading to possibility of leak of confidential information.
The file storage platform is a long, unwieldy list of files within Collaboration Core with no sorting or filtering capabilities. This makes it difficult to find specific files, and although upload, download, and sharing features are provided, they were not easily visible for the user.
Collaboration Core lacked a project management system and used excel sheets to track the progress of the projects which involved a lot of manual tracking requirement which further lead to missing out on important information and deadlines.

Discover & define
Understanding client domain + comparative analysis between current state and capability workbook, which helped derive a design intake document to define scope of the experience to be created and future state.

Design
Redesigned existing prototype with design system components and arrived at multiple iterations to meet requirements which were periodically presented to the client and PO's to keep the ideation process in line with the client expectations and to incorporate the approved suggestions and feedbacks received.

UX review & handover
3 rounds of UX review + usability testing (conducted with online user testing platforms and InVision prototyes) was done before finalizing screens for the UI phase and approved designs were built down to other breakpoints and then handed over to the development team.
SOLUTION
Message management system



A message management system was formulated along with proper navigational elements and differentiators that provides the user with a secure environment to view and send communications between Finvesture and its clients. Along with that design considerations were incorporated to safeguard potentially sensitive and confidential information.
File storage system
The newly designed file storage system along with providing a list view of the files available also provides the users with the ability to search, filter and segregate the files based on the user requirements. Along with that existing features of upload, download and share files were retained in a more cohesive and intuitive design language.
Project tracking system
The newly introduced project tracking system provided the employees from client and Finvesture to see the project details, track the projects and update the status. It consists of a dashboard with all the projects and detailed over view of each project. It also provided the users with the facility to add new projects and tasks, maintain a file repository and chat option within each project; all as opposed to the previously used excel sheets.
